1. Information we collect

Information you provide

• Order & identity information: your name and email address; the veteran's name, branch of service, and your relationship to the veteran.
• Records-request details: information required to complete the SF-180, which may include date of birth, place of birth, dates of service, and, at the signing stage, the last four digits of a Social Security Number (and, where required for older records, additional identifiers).
• Next-of-kin documentation: for requests concerning a deceased veteran, proof of death (such as a death certificate or obituary) and proof of relationship.
• Communications: messages you send us by email or through the site.

Information collected automatically

• Device & usage data: IP address, browser type, device information, pages viewed, and referring URLs.
• Cookies & similar technologies: including advertising and analytics identifiers. See Section 5.
• Advertising click identifiers: such as the Microsoft Advertising click ID (msclkid), Meta click ID (fbclid) and related cookies (_fbp, _fbc), Google click ID (gclid), and TikTok click ID (ttclid), when you reach us from an ad.

Information from third parties

• Payment confirmation from our payment processor (we receive confirmation and limited billing details, not your full card number).
• Advertising & analytics providers, which may share measurement and audience data with us as described in Section 5.

2. Sensitive information

Our service necessarily involves personal and, in some cases, sensitive information about a veteran, which may include a partial Social Security Number and military service and medical records. We treat this information with heightened care: the full Social Security Number is collected only where the government requires it, and only through our encrypted e-signature partner — not stored in plain text on this website. We use this information solely to prepare, submit, and fulfill your records request, and we do not sell it or use it for advertising.

3. How we use your information

• To prepare, submit, and follow up on your records request with the National Archives/NPRC, and to deliver the results to you securely.
• To process payments and issue refunds.
• To communicate with you about your order, respond to inquiries, and provide support.
• To operate, secure, maintain, and improve our website and services.
• To measure and improve our advertising, understand where our customers come from, and prevent fraud (see Section 5).
• To comply with legal obligations and enforce our Terms.

4. How we share your information

We do not sell your personal information. We share it only as follows:

• Service providers who help us operate, including Stripe (payment processing), Dropbox Sign (electronic signature of your SF-180), and email delivery providers. These providers are contractually limited to using your information to provide their services to us.
• The National Archives / NPRC and related government offices, to the extent necessary to submit and fulfill your records request.
• Advertising & analytics partners for measurement and marketing, as described in Section 5.
• Legal & safety: when required by law, subpoena, or legal process, or to protect the rights, property, or safety of Veteran DD214, our customers, or others.
• Business transfers: in connection with a merger, acquisition, or sale of assets, subject to this Policy.

5. Cookies, advertising & analytics

We use cookies and similar technologies from advertising and analytics partners to measure the performance of our ads, understand how visitors use our site, build audiences, and attribute conversions (for example, to know that an order resulted from a particular ad). When you interact with our site, limited event information — such as page views and completed purchases, along with online identifiers and hashed data used for matching — may be shared with these partners. We do not share your Social Security Number, military records, or the contents of your request with any advertising or analytics partner.

These partners act as independent controllers of the data they receive and process it under their own privacy policies, linked above. When we share event data with Meta, Microsoft, Google, or TikTok through their business tools, we do so in accordance with those platforms' terms, and we instruct them to use it only for the measurement and advertising purposes described here. Where we use hashed identifiers (such as a hashed email) to improve ad matching, the hashing is designed so partners cannot recover the original value except as permitted by their terms.

6. Your choices & opt-outs

• Cookies: most browsers let you block or delete cookies through their settings. Blocking cookies may affect how the site works.
• Ad personalization: use the partner opt-out links in the table above, and the industry tools at optout.aboutads.info (DAA) and optout.networkadvertising.org (NAI).
• Global Privacy Control (GPC): we honor recognized opt-out preference signals, such as GPC, as a request to opt out of "sharing" for targeted advertising where applicable.
• Email: transactional emails about your order are necessary to provide the service; any non-essential emails include an unsubscribe option.

7. Your U.S. privacy rights

Depending on your state of residence (including California, Virginia, Colorado, Connecticut, Utah, and other states with comprehensive privacy laws), you may have the right to:

• Know or access the personal information we hold about you;
• Request correction of inaccurate information;
• Request deletion of your information, subject to legal exceptions;
• Opt out of the "sale" or "sharing" of personal information and of targeted advertising; and
• Not receive discriminatory treatment for exercising your rights.

We do not sell your personal information for money. Some sharing with advertising partners for cross-context behavioral advertising may be considered "sharing" or a "sale" under certain state laws; you can opt out using the methods in Section 6. If we deny a request, you may appeal by replying to our response.

California "Shine the Light": California residents may request information about disclosures of personal information to third parties for their direct-marketing purposes by contacting us at the email above.

8. Data retention

We keep personal information only as long as needed to provide the service, fulfill your request, comply with our legal obligations, resolve disputes, and enforce our agreements. Records related to a completed order are retained as required for recordkeeping and legal purposes, after which they are deleted or de-identified.

9. Data security

We use administrative, technical, and physical safeguards designed to protect your information, including encryption in transit, restricted access, and reputable processors for payment and e-signature. Delivered records are provided through encrypted, expiring links rather than as email attachments. No method of transmission or storage is completely secure, and we cannot guarantee absolute security.

10. Children's privacy

Our service is intended for adults (18 and older) and is not directed to children. We do not knowingly collect personal information from children under 13. If you believe a child has provided us information, contact us and we will delete it.

11. Changes to this Policy

We may update this Policy from time to time. The "Last updated" date at the top reflects the current version. Material changes will be posted here, and your continued use of the service after changes take effect constitutes acceptance.
