1. About our service & non-affiliation
Veteran DD214 is a private, independent document-preparation and records-retrieval assistance service. For a fee, we prepare the official request form (Standard Form 180, "SF-180"), obtain your electronic signature, submit the request to the National Personnel Records Center ("NPRC") of the National Archives and Records Administration ("NARA") on your behalf, follow up on its status, and securely deliver the resulting records to you. Depending on the option you select, we assist with retrieving the DD214 (Report of Separation) and/or the complete Official Military Personnel File ("OMPF").
2. Eligibility & your authority to request
To use our service, you represent and warrant that:
- You are at least 18 years old and able to form a binding contract.
- You are either (a) the veteran whose records are being requested, or (b) an eligible next-of-kin (such as a surviving spouse, parent, child, or sibling) of a deceased veteran, or otherwise legally authorized to request the records.
- All information you provide is accurate, current, and complete, and you are authorized to submit it.
- You will provide any supporting documentation the National Archives requires (for example, for next-of-kin requests, proof of death and proof of relationship).
Access to certain records is restricted by law. The National Archives, not Veteran DD214, determines who is eligible to receive a given record and what it will release. We cannot guarantee the release of records the government declines to provide.
3. Fees & payment
- Our service fee is displayed on the order form before you pay. It is a one-time charge with no subscription and no recurring fees.
- Optional add-ons (such as retrieval of the complete OMPF) are shown with their additional cost before purchase and are only charged if you select them.
- Payments are processed by our third-party payment processor, Stripe. By purchasing, you authorize the charge and agree to Stripe's terms. We do not store your full card number.
- The fee is for our preparation, submission, follow-up, and secure-delivery services. It is not a government fee, and the underlying records are free from the government.
4. Refund policy & 120-day money-back guarantee
Every order includes the following refund protections at no extra cost:
- 120-day money-back guarantee. If we are unable to retrieve your requested record within 120 days, you are entitled to a full, automatic refund of your service fee. No forms and no hassle.
- Change your mind before we file? If you decide not to proceed before we submit your request to the NPRC, you are entitled to a full refund.
- After we submit to the NPRC, the fee is non-refundable for a change of mind, because the work of preparing and filing your request has been performed. The 120-day money-back guarantee above still applies regardless.
- The same terms apply to the optional OMPF (complete record) upgrade.
Approved refunds are issued to your original payment method through Stripe. To request a refund or ask about your order, email help@veterandd214.com and a real person will respond. This policy does not limit any rights you may have under applicable law.
5. Your responsibilities
- Provide accurate, truthful information and only request records you are authorized to obtain.
- Respond promptly to requests for the details or documents needed to complete your request. Delays on your part may delay or prevent fulfillment.
- Keep your account credentials, secure links, and confirmation emails confidential.
6. Processing times
Turnaround depends entirely on the National Archives and is outside our control. Typical requests take several weeks to a few months; records affected by the 1973 NPRC fire or requiring reconstruction can take significantly longer. We do not promise a faster turnaround than the government can deliver, and estimated timelines are not guarantees. Our commitment is to prepare and file your request promptly and to follow up on your behalf.
7. Third-party services
We rely on trusted third parties to deliver our service, including Stripe (payments), Dropbox Sign (electronic signature of your SF-180), and email delivery providers, as well as the National Archives/NPRC for fulfillment. Your use of our service may also be subject to those providers' terms. We are not responsible for the acts or omissions of government agencies or third-party providers, though we will advocate on your behalf.
8. Acceptable use
You agree not to:
- Submit false, fraudulent, or unauthorized requests, or impersonate another person.
- Request records you are not legally entitled to receive.
- Use the service for any unlawful purpose or in violation of these Terms or applicable law.
- Interfere with, disrupt, or attempt to gain unauthorized access to our systems.
9. Intellectual property
The website, its content, branding, and design are owned by Veteran DD214 or its licensors and are protected by law. You may not copy, reproduce, or create derivative works without our permission. Records we retrieve for you belong to you and the individual whose records they are; our service does not claim ownership of your documents.
10. Disclaimers
The service is provided "as is" and "as available" without warranties of any kind, whether express or implied, including implied warranties of merchantability, fitness for a particular purpose, and non-infringement. We do not warrant that the government will release any particular record, that results will be error-free, or that the service will be uninterrupted. No advice or information obtained from us creates any warranty not expressly stated in these Terms.
11. Limitation of liability
To the fullest extent permitted by law, Veteran DD214 and its owners, employees, and agents will not be liable for any indirect, incidental, special, consequential, or punitive damages, or any loss of profits or data, arising out of or related to your use of the service. Our total liability for any claim arising out of or relating to the service or these Terms will not exceed the amount you paid us for the order giving rise to the claim. Some jurisdictions do not allow certain limitations, so some of these limitations may not apply to you.
12. Indemnification
You agree to indemnify and hold harmless Veteran DD214 from any claims, losses, liabilities, and expenses (including reasonable attorneys' fees) arising out of your breach of these Terms, your misuse of the service, or your submission of inaccurate, fraudulent, or unauthorized information or requests.
13. Governing law & disputes
These Terms are governed by the laws of the State of Texas, United States, without regard to its conflict-of-law rules. You agree that any dispute will first be addressed by contacting us so we can try to resolve it informally. If it cannot be resolved informally, the state and federal courts located in Texas will have jurisdiction, except where applicable law provides otherwise. Nothing in these Terms limits any rights you may have as a consumer under mandatory local law.
14. Changes to these Terms
We may update these Terms from time to time. The "Last updated" date at the top reflects the latest version, and changes are effective when posted. Your continued use of the service after changes take effect constitutes acceptance of the updated Terms.
